Using Eudora in Windows

Introduction


Eudora is an email client that can be used to retrieve email from your UMM email (cda) account. Eudora contains all the common features of modern email programs and is preferred by many over Pine because of its graphical user interface, ability to display images and other attachments, and numerous other features not possible with a text-only email client such as Pine. If you usually will be retrieving your mail using a single computer that is connected to the campus network, whether on ResNet or in an office, Eudora is your best software alternative. Students, faculty, and staff members who wish to set up Eudora to manage their email should follow the following instructions.

System Requirements


  • Windows 98/2000/ME/XP
  • An email account with the University or another Internet Service Provider
  • Access to your email account via a modem or a TCP/IP style internet network conncection (For example: Local Area Connection)

Eudora Installation

  1. First you will need to download the Eudora setup file from the Eudora website. Remember the location of the file when you choose to save it to your computer.
  2. Quit your current Eudora program if it is running.
  3. Double click the setup file Eudora_6.2.x.exe which is located on your desktop (or wherever you chose to save it). It should look something like this:
  4. You will see a window that tells you it will install Eudora 6.0.x on your computer. Click Next.
  5. The next box shows you the liscense agreement. You must accept this agreement to install Eudora. If you agree, click yes to continue.
  6. Next it asks you which features you would like to install. Leave both boxes checked and click next.
  7. It will ask you where you would like to install Eudora. The default location is fine. However, if you wish to install it somewhere else, click the browse button and select the desired folder.
  8. Next it asks where you would like to store your mail, settings, and address book. Again, the default location is fine. If you would like to choose another folder, click "Custom Data Folder" and select the desired folder for the Data. Click next when you are satisfied.
  9. It will give you a summary of the selections you have made. Look over the summary. When you are satisfied, click next. Setup will then install the Eudora files to your computer.
  10. When it finishes installing files to your computer, click yes if you want a shortcut on your desktop.
  11. Type the name of your shorcut. Eudora is the default name.
  12. On the final install page, you can uncheck the two boxes and click finished.

Eudora Setup

Click on the Eudora site on your desktop (if you created a shortcut) or in the Start Menu under programs.
It should look something like this:


If this is the first time you are using this version of Eudora, go to the New Account Wizard setup (found below).

Otherwise, skip ahead the Account Reconfiguration setup.

New Account Wizard setup

  1. After starting Eudora, a New Account Wizard will allow you to enter the settings required by the program. The program will use these settings to communicate with the server and transfer email appropriately. Click the "Next" button.
  2. Click the "Create a brand new email account" button, and then the "Next" button.
  3. Enter "Your name" in the box, and then click the "Next" button.
  4. Enter your E-mail address which will be your UMM_username@morris.umn.edu. Click the "Next" button.
  5. Verify that your username is correct, then press the "Next" button.
  6. Enter username.email.umn.edu into the "Incoming Server" box. It is recommended that you select the "IMAP" dot under the "Type of server" (unless you prefer POP). Click the "Next" button.
  7. Enter "~/mail/" exactly as you see it. After you have entered it correctly, press "Next".
  8. In the Outgoing server box, enter exactly the following : smtp.morris.umn.edu. Also, make sure the "Allow Authentication" box is checked. If it is not checked, check it. Click "Next
  9. Click the "Finish" button and the wizard will close.

    There are still a few more settings you will have to make to ensure Secure E-mail Transmission. Continue with Account Re-Configuration to complete the setup process.

Account Reconfiguration setup
  1. In Eudora, go to the Tools menu, then select Options...
  2. On the left side of the screen, click on Checking Mail, make sure you have the following information in the correct boxes as shown below (the name, email address, incoming mail server, and username will be your name and username):
  3. On the lefthand side of the screen, click the Sending mail Category. Under Secure Sockets when Sending change it to Required, STARTTLS
  4. Now, in the category section on the left, scroll down and see if you have a Ports option. If you do, skip to Setting Port Values, otherwise you will need to install the esoteric.epi file into your Eudora folder. To do so, follow on below.
  5. Install the esoteric.epi file. This means move the file "esoteric.epi" from the folder Eudora\extrastuff to the folder Eudora. To do this, follow these steps:
    1. Close Eudora
    2. Find the path of the esoteric.epi file. The default path is "C:\Program Files\Qualcomm\Eudora\extrastuff". To navigate to this spot, open my computer, select Local Disk (c:), then select Program Files, then find the folder labeled Qualcomm, and select Eudora, and finally open the extrastuff folder
    3. Before going on, make sure you have a view of your folders on the left hand side. To do this, click the folders button, located right above the Address line in the window.
    4. Drag the file "esoteric.epi" to the Eudora folder as shown below.
    5. You have just intalled the Ports option into Eudora.
  6. We now need to enter the correct Port Settings
      Setting Port Values
    1. To set the correct port values, we will need to open Eudora again. Click the Eudora icon.
    2. Again, go to the Tools menu and click Options
    3. On the left hand side, scroll all the way to the bottom and you should see a Ports option. Click on Ports. Enter the following values into the corresponding box:
      • SMTP Port (25): 587
      • POP Port (110): 995
      • IMAP Port (143): 143

  7. After that, scroll up in the left hand column and click on checking mail. Check which server configuration you have. It will be either "POP" or "IMAP".
  8. Depending on which one is selected, you will have to do Only One of the following:
    "POP"
    • Change Secure Sockets when Receiving to Required, Alternate Port.

    OR

    "IMAP"
    • Change Secure Sockets when Receiving to Required, STARTTLS.

You have successfully set up Eudora.

Other Areas of Interest

Receiving Mail:
You can now check mail by going to the File menu and selecting Check Mail. You will be prompted for your password.

To have Eudora Automatically check your mail:
Select Options from the Tools menu and select Checking Mail. Enter how often you would like Eudora to check your mail (in minutes).

To have Eudora Save your password:
Select Options from the Tools menu and select Checking Mail. Place a check next to the "save password" option".

Replying to a Message:
To reply to a message, select Reply from the Message menu. A new message window is displayed with the sender's address and the original message already filled in.

Forwarding a Message:
To forward current message, select Forward from the Message menu. A new message window is displayed with your address in the "From" field. Make any changes and enter the recipient's address in the "To" field. The message can then be sent or saved.

Sending Mail:
To create a new message, select New Message from the Message menu. Fill in the recipient's email address in the "To:" field. Type message in the text area below and click Send.

Inbox:
New mail stays in your Inbox until it is deleted or moved. You can return to the inbox by selecting In under the Mailbox menu. Try not to let too many messages pile up in this Inbox.

Deleting:
To delete a message from the Inbox select the message, go to the Message menu and select Delete. Deleting a message really just moves the message to the trash folder in the Eudora folder (not to the "Windows Recycling Bin" icon.) Periodically use the "Empty Trash" command available on the "Special" menu.

Moving Mail:
You can move messages with the Transfer menu. You can create new mailboxes by selecting New... from the Transfer menu.

Outbox:
Outgoing messages stay in your Outbox until you delete them. Save unfinished messages at any time and return later by selecting Out from the Mailbox menu. Try not to let too many messages accumulate in this outbox.

Address Book:
You can open the address book by selecting Address Book from the Tools menu. To create a new Address Book entry click New. Enter a nickname for the entry. Click on OK. In the addresses field enter the complete email address of the people or person to be included in the nickname. In the Name field enter the real name of the person or group. To save the changes to your address book select Save from the File menu. To avoid individual names of a group from displaying, place a name in the full name box

Attachments:
When you receive an attachment, it is automatically decoded and saved in the Attachments Folder in your Eudora Folder. To open an attachment from the message window, double click the name of the attachment. This will launch the application that the file was created in.

    • To attach a file to a current outgoing message, select Attach File from the Message menu. Find the document in the dialog box and click on the attach button.

Filters
Filters allow you to schedule actions at the time of an event. For example:
  • Eudora can automatically transfer all messages from a particular source to a specific mailbox or straight to the trash.
  • Eudora can play a special sound when an email you've been expecting arrives, or anytime mail arrives from a specified source.
  • Eudora can apply different labels to messages of particular types
  • And MANY more options
Creating A New Filter
  1. Two ways of creating a filter:
    1. Select Special and click Make Filter
    2. Highlight the message you would like to create a filter around, for example if you'd like to transfer all incoming mail from a particular person into a folder you can highlight a message from them and select Special and then select Make Filter.




  2. A Make Filter Window should appear:


    Make Filter Menu:
    Match Conditions (Where the Filter will look)
    Incoming
    The Filter is initiated when messages are received
    Outgoing
    The Filter is initiated when messages are sent
    Manual
    The filter is initiated ONLY when you choose Filter Messages from the Special menu.
    Contains: (What the Filter will look for)
    From
    Whenever the specified address is in the "From" line, the filter will act
    Any Recipient
    Whenever the specified address is in the "To" line, the filter will act
    Subject
    Whenever the specified text is in the "Subject" line, the filter will act
    Action: (The action the Filter will take)
    Transfer to New Mailbox
    Creates a new mailbox with the title of the text in the window
    Transfer to Existing Mailbox
    Clicking the box next to this option allows you to transfer a message to a specific mailbox.
    Delete Message (Transfer to Trash)
    Transfers messages to the Trash
  3. Click one of the following options:
Create filter
Creates the filter
Add Details
Opens the Filters menu which lets you add more actions to your filter
(You can also access this menu by selecting Tools then Filters)

Advanced Filter Settings

If you've already created a filter you can go into more advanced settings by
  • Selecting Tools and then clicking Filters
This will bring up the Filters window, which will allow you to edit many more options now that you have a filter created. On the left pane there is a listing of all the filters that have been created. You can select any one of them and on the right side you will see the properties for that particular filter, now you can add additional settings to the filter such as sounds and labels. Some of the settings will already be filled in for you depending on what original settings were chosen.

Manual
The filter is initiated ONLY when you choose Filter Messages from the Special menu. To filter messages already in your inbox or other mailboxes, highlight the messages you want the filter to scan (clicking on one message in the mailbox and then selecting Edit and Select All (ctrl+A). This should highlight all the messages in your chosen mailbox Now click Special and select Filter Messages, to filter the messages.
Header
Determines that the filter will look in the header, and will also look at the selected option in the header, you can choose from the following options by selecting the drop-down menu by click the downward arrow:
  • To:
  • From:
  • Subject:
  • CC:
  • Reply to:
  • «Any Header»
  • «Body»
  • «Any Recipient»
  • «Personality»
The next drop-down window contains the following options, and is concerned with whatever option is selected in the Header: (For this example From:). If the criteria is met the filter will move on to the next step. These are the conditions for this part of the filter:



contains
If the "From:" portion of the header has the specified text, filter the message
doesn't
If the "From:" doesn't have the specified text the criteria is met, filter the message
is
If the exact words in the "From:" match the specified text, filter the message
is not
If the "From:" is not exactly the specified text, filter the message
starts with
If the "From:" begins with the specified text, filter the message
ends with
If the "From:" ends with the specified text, filter the message
appears
If the header item in the message, filter the message (the text field is ignored). This is useful for filtering messages based only on the types of fields they contain. Example: Some messages contain a Reply-To header; some don't

Intersects nickname
If the specified text is included in a nickname (whether it is a full address or a nickname within the nickname), filter the message.

The last portion of the menu is the Action section. This section tells Eudora what you would like the filter to do once it has met the criteria for your search. The chosen option will be taken by the filter, and you can change the settings for each option and each selection. You can select any one or a combination of Options.

Eudora also supports other searches, here are some of the symbols supported by Eudora:
.(period) represents any one character.
[ ](brackets)contain a set of characters from which a match can be made. It corresponds to one character in the search string.
\ (backslash) is an escape character which means that the next character will not have a special meaning.
* (asterisk)is a multiplier. It will match zero or more of the previous character. (Note that it's not a wildcard character as in file names.)
? (question mark) is a multiplier. It will match zero or one of the previous character. (Note that it's not a wildcard character as in file names.)
+ (plus)is a multiplier. It will match one or more of the previous character.
{ }(squiggly brackets) contain a number which specifies an exact number of the previous character.
[^](brackets containing caret and other characters) means any characters except the character(s) after the caret symbol in the brackets.
^ (caret) is the start of the line.
$ (dollar) is the end of the line.
\<represents the start of a word.
\>represents the end of a word.
[:alpha:]represents any alphabetic letter.
[:digit:]represents any single-digit number.
[:blank:]represents a space or tab.
|(pipe) is OR. Eudora expects the joined expressions to have parentheses around them.
Here are a few examples:
E.*a matches Eudora, Etcetera, Ea
ho+p matches hop, hoop, hoooop, but not hp
etc\. matches etc. but not etc
e.a matches eta, eda, e1a; it only matches Eta if the matching is case-insensitive
[eE].a matches eta and Eta

Signatures

A Signature is a tag at the end of outgoing email which allows you to enter text you would like to send along with your email. For example if you can add a business card like statement at the end of your emails so people can easily keep in touch with you.
Eudora lets you create and/or edit Signatures in just a few easy steps:
  1. Select Tools and then click on Signatures
  2. For default settings, the left panel, which contains tabs at the bottom of the window for Mailboxes, File browser, Signatures, Stationary, and Personalities now has the Signatures tab selected, which contains in the window every Signature file you have created.
  3. To Edit an existing Signature: You can either double-click the Signature, or you can right click on the highlighted Signature and select Edit.
  4. Now in the main window the text associated with the Signature will appear and you can edit the text.
  5. To Save Select File and then click Save or Save As.
  6. Eudora defaults to include the "Standard" as the Signature it sends with an email.
  7. Changing Eudora's default signature: Select Tools and then click Options.
  8. Highlight Composing mail in the left pane. In the When not using Stationery portion of the menu there is a Signature, click the downward arrow to choose from the list of signatures on your computer.
  9. click Ok to save the change.

Carbon Copy & Blind Carbon Copy (CC: & BCC:)

Carbon Copy
Allows the sender to send copies of the email to the email addresses typed in the "Cc:" section of the email.
Blind Carbon Copy
Allows the sender to send copies of the email to addresses in the "Bcc:" section as well, only in the Bcc: section the user on the receiving end of the transfer will not see the email addresses listed in the "Bcc:"

Address Book

Editing your Address Book Select Tools and click Address Book

  • You can sort your address book by selecting the View By: option in the upper left portion of the window. This allows you to sort your address book. The default is to sort by nickname, but you can also sort by:

  • On the right side of the Address Book, you can enter and/or change information about an entry once you've selected your choice on the left side of the Address Book. For a new entry into the address book make sure You can add additional information about the specific user by clicking on Personal, Home, Work, Other, and Notes.

    How to....
    Add a new Contact to the Address Book
    1. click the button on the bottom left corner of the Address book window.
    2. An empty template will appear on the right and you can enter in any data about the new contact that you would like to have in Eudora. Clicking on the different tabs (Personal, Home, Work, Other, and Notes) will allow you to add more detail about the contact into your address book.
    Delete a Contact from the Address Book
    Highlight the contact you wish to delete, and then click the button
    Create a New Address Book
    Click on the button then fill in the name you wish to give the new address book
    Sending Mail to the Selected Contact(s)
    Highlight the desired contacts in the list and click the button This brings up a new message with the highlighted contact(s) in the "To" line.
    Adding Selected Contact(s) to the Carbon Copy
    Highlight the desired contacts and click the button. This brings up a new message with the highlighted contact(s) in the "Cc" line
    Adding Selected Contact(s) to the Blind Carbon Copy
    Highlight the desired contacts and click the button. This brings up a new message with the highlighted contact(s) to the "Bcc" line

    Label

    Editing the preferences for your labels
    Select Options from the Tools menu then select Labels in the Category window. This will bring up a menu like the picture below
    Changing the Color of a Label
    Click on the colored box next to the label you wish to change. A color palette will appear allowing you to edit the color for the chosen label. select the Define Custom Colors >> button for more options.
    Naming A Label
    Type in the name next to the color you wish to associate the name with.
