The Science and Math complex is home for the University of Minnesota, Morris student and faculty post office. The UMM mail system operates as a service to benefit students, faculty and staff. It is not affiliated with the United States Postal System. Being a part of the University community, it is important to remember to have a free flow of communication between and among the members of the campus community.

The campus mail system is also used as means of public communication. Students, faculty and staff who are conducting college business will have their public communication freely distributed. No one other than students, faculty or staff are allowed to use our campus mail system for public communication, except as provided, unless it is a sanctioned University activity. No individulas including faculty, staff or students conducting private business activities will be allowed to use the campus mail system for public communication (having to deal with non-University functions). Notices and announements to members of student organizations and the campus community will normally be included in the electronic Weekly Bulletin rather than distributed through campus mail. For the the University to serve students effectively it must have the means of communicating with all students. Therefore, every student is assigned a PO Box upon registration; the number of this box should be noted on all your incoming mail. We ask students to check their post office box and collect their mail regularly. Any changes of local address should be reported to the Post Office. When students move away, even for the summer, they should fill out a change of address form. If this, isn't done, bills, bank statements, magazines etc., may not catch up with you in timely fashion and problems may arise.

***A good thing to remember when mailing items off campus: DO NOT use staples or metal closures. The metal creates problems with the USPS automated postal machines. If staples or metal closures must be used, place tape or other adhesive materials over them.

USPS mail is delivered once a day Monday through Saturday to the mailroom, usually around 9:30 a.m. (this time varies). Though mail is delivered to the campus on Saturdays, only first class student mail is delivered to campus PO Boxes, there is NO window service on Saturdays. Campus mail is picked up from the mailroom and delivered to the campus buildings Monday-Friday about 10:00 a.m. and again about 1:30 p.m. Mail delivery to student PO Boxes vary, but it is usually early afternoon. Out-going off campus mail is picked up by the USPS once a day Monday-Friday at approximately 3:00 p.m. (again these times may vary).
We provide service for USPS out-going mail, UPS, FedEx (both Express and Ground), SpeeDee and DHL for departments and students. There is a nominal fee for personal use of package vendors. If you are doubtful about how much it will cost to send any item, it is best to bring the item to the Post Office and have it checked.
If you have an item that definitely requires overnight service, the UMM Post Office recommends using a vendor other than USPS. UPS (United Parcel Service) and FedEx are the usual vendors recommended. They provide tracking information and guarantee overnight service. Items needed to be sent FedEx need to be at the UMM Post Office no later than 10:30 am and the sender should make arrangements for pick up and payment. You may contact us to find out the information required. UPS items need to be at the Post Office no later than 2:00 pm and typical costs for mailing items first class are as follows:

An additional $0.13 is required for items weighing 1 ounce or less with any of the following criteria:

b. The height exceeds 6-1/8 inches, or length exceeds 11-1/2 inches, or thickness exceeds ¼ inch.

c. The length divided by height is less than 1.3 or more than 2.5 (length is the dimension parallel to the address).

d. It has clasps, strings, buttons, or similar closure devices.

e. It is too rigid or contains items such as pens that cause the thickness of the mail piece to be uneven.

f. It has an address parallel to the shorter dimension of the mail piece.

Priority Mail
Prority Mail is used for documents, gifts, and merchandise. Any item may be sent as Priority Mail The maximum weight is 70 pounds. The mximum size is 108 inches or less in combined length and distance around the thickest part. Mark each package "Priority Mail" in the postagbe area or use a USPS-provided Priority Mail envelope, box or label.

Express Mail offers overnight service to a very few destinations but two day service is guaranteed or your money is refunded. Express Mail is delivered to many locations 365 days a year including weekends and holidays - at no extra charge.

Postcards (postcards are an inexpensive way to get your message out. When cards arrive in the mail, there's the message -- no envelope to open! First-Class cards are a great value, too. With First-Class cards, you pay a low rate and get all of the benefits, like forwarding and return that come with First-Class Mail. To qualify for mailing at First-Class Mail card rates, a card must be:

Global Priority/Global Express
Two- to three-days: Go with Global Express Guaranteed (GEG). If you need day-certain delivery, generally within two- to three days, and need to track your package, GEG is the way to go. It goes to more than 190 countries and territories worldwide, starting at $32. for one-half pound, with package rates starting at $45 for one pound.
Three- to five-days: Global Express may be for you. Delivery within three- to five- days to more than 190 countries, prices start at $16.25 for one pound, with online tracking available to more than 60 countries.
Four- to six-days: Global Priority . The look and feel of Global Express at a lower cost, Global Priority is designed to be delivered within four- to six-days to 51 major countries. Two convenient sized envelopes, a smaller one at $5.25 and a larger at $9.50. Or you can use your own packaging and add the Global Priority Mail sticker. There is a four-pound limit.

Students will be notified of packages and other large mailings that they receive through their POs. These packages may be picked up from the Post Office during window hours (9:00 am-3:00 pm M-F). Postage stamps and other mail services are also available at the post office window during designated window hours. Intra-campus mail DOES NOT require postage. The UMM Post Office will send out packages/parcels via USPS, UPS, DHL, SpeeDee, FedEx (both ground and express). USPS and UPS have daily pick ups. If you wish to utilize one of the other vendors, it is up to you to contact them and make arrangements for pick up and payment. Other postal services such as c.o.d.s, money orders, and registered mail may be obtained at the Morris Post Office downtown (located at 105 E 6th St.) ~~~~~~~~~~~~~~~~~~~~~~~~~~~
Notices to Students Who Receive Newspapers/magazines
Due to the large volume of newspapers, we cannot hold them. Papers need to be picked up every day. If you have a special need, please let us know. We will do everything in our power to help you and find a solution that will work for everyone.
If students receive magazines regularly, again we are not able to hold them. If you receive magazines please pick their mail up regularly to avoid box build-up.
Information for Standard Rate Non-Profit Mailings (may place picture of processed mailing.bags)
Offices and departments often send out "standard rate" mailings. Over the years the USPS has altered the regulations for acceptance of these mailings. Duplicating Services does do "automated" mailings at a larger savings. However, if a non-automated mailing is done, please use the following information. Also, the USPS does not like to receive "standard mailings" on Fridays. Policy states that each mailing has a maximum of 2 days before it must be sent off. If a mailing is received downtown on Fridays it must be sent off that day in order to follow that recommendation. However, Fridays are noted for being especially busy and don't often times offer the time the USPS office needs to complete their part in the process. (The second day would be Sunday and the USPS is not open.)
When preparing to do a Standard Mailing, there are certain "regulations" that must be followed or the mailing will be rejected by the USPS downtown. The University is allowed 2 rejected mailings per year. If number exceeds that, mailings will be audited. Here at the University we try to keep offices informed about these procedures. All mail items must be machineable, identical and addresses must be legible. It is best/easiest if addresses are printed at the duplicating office or use labels that have been generated by a computer. A bar code should be printed on each individual piece, but is not mandatory. To qualify for a Standard Mailing there must be a minimum of 200 pieces. These pieces may be anything from flyers, #10 envelopes, large manila envelopes, periodicals etc.
There are two types of Standard Mailings..automated and non-automated.
Automated mailings may be prepared by Duplicating Services. This way the address, bar codes, sorting and paper work are all machine generated. Saving many man hours, and offering less opportunity for error. For non-automated mailings the following rules must be used:
To begin the mailing:
-
make sure there are a minimum of 200 identical pieces
-
have the label on the front of each item (if the non-profit indicia is not printed on the item contact the Post Office to get the rubber stamp and stamp each item)
-
if the piece is a flyer, the loose edge must have at least one adhesive "tab" closing it, DO NOT use staples for closure, these items will be rejected, unless the item is a booklet piece and the staple is binding the pages together.

each piece must be arranged numerically according to the zip codes.
Once this process has been completed, it is time to assemble zip code groups together (each bundle in the following process must have at least 10 pieces/bundle)
?sort the groups by zip codes
-
first by entire zip code (i.e. all 56267); place a red "D" sticker at the lower left corner on the first piece
-
if there it gets so there are no longer zips that have 10 in a group, look for the identical first three digits (i.e. 562.., 563.., 564..,) place a green "3" sticker on the first item's lower left hand corner.
-
if you once again get zip code groups that no longer contain 10 pieces that have the same first three digits, group pieces by the same "state" but keeping each group in numerical order and again having at least 10 pieces, place a purple "A" sticker at the lower left hand corner of the first piece
-
once again if you get so there are not 10 pieces with the same "state" the remaining must be sorted by zip code (numerical) order, place a brown "mxd" sticker at the lower left hand corner of the first piece
The sorting is now completed.
Once the sorting is completed, each group must be bound making sure the piece with the sticker is in front..the binding is done first length wise, then by height. Rubber bands are usually the easiest way to contain these bundles.
These bundles should not exceed 4" in width. If there are more per group, bind the groups in smaller packets, and still have the sticker on the first piece of each bundle.
Once each zip code group is bound, the pieces need to be placed in mailing trays or sacks. Each tray/sack contains only one zip code area, or one three digit area, or one state or one mixed state sort. On the outside of each container (whether tray or sack) a label must be attached indicating information about where the mailing is destined, what the mailing is and where the mailing has originated.

Proper forms (PS Form 3602-N) and paper work must be properly filled out to accompany the mailing to the post office downtown. These steps need to be completed before bringing mailings to the USPS. The University Post Office will be happy to help if asked/notified in advance, so time may be set aside to help complete the process. A check needs to accompany each mailing to the USPS, so be sure to attach a budget number which may be charged.
An extra copy of the piece being mailed needs to be attached to the form when sent to the USPS downtown. The University Post Office also needs to keep a copy in their files also.
UPS/FedEX (both express/ground)/ DHL/ SpeeDee
These vendors all come to the University with deliveries and do pick up packages. The Post Office is able to help with UPS items. We can take the items and prepare the packages. However, the person sending the item must make arrangements for pick up with these vendors.
