STUDENT CENTER SCHEDULING POLICIES

All rooms on the Morris campus require prior scheduling before use. Generally, facilities are available to faculty and student organizations without charge when properly scheduled. Non-University groups should contact the Office of University Relations to initiate the scheduling process.

Fee Policy

In general, Student Center facilities are available for campus community use at no charge to the sponsoring group. Sponsoring groups are responsible for the additional costs associated with special set-ups, extensive clean-ups, food and beverage service, performance quality sound and lighting, and other services described in the Event and Meeting Planning section. If programs extend beyond regular hours, all sponsoring organizations will be assessed a minimum fee of $15/hour.

Facility rental fees (established to cover costs of utilities, custodial time, access to the information desk and scheduling services, and etc.) will apply to events scheduled by UMM groups and individuals when:

A conference or meeting is funded primarily through registration fees or outside funds and a majority of attendees are non-UMM community members.

Members of the UMM community are scheduling space for personal use.

Late Cancellation of Events in the ballroom or Edson Auditorium: No room fee will be charged to groups canceling their room reservations at least three days prior to the event. When timely cancellation is not received:

Campus/student groups exempt from rental fees will be assessed a cancellation fee of 1/2 of the normal three hour rental rate when the space is the Banquet/Ballroom or Edson Auditorium. They will not be charged a cancellation fee for canceling other spaces.

UMM community groups/members paying facility rental fees will be assessed a cancellation fee of 1/2 of the normal three hour rental rate for any reserved Student Center spaces.

Exemptions to cancellation fee: 1)events cancelled due to 'acts of God', 2)rain site facilities which are not used.

Billing: Student organizations and campus units will be billed directly by the appropriate campus office for charges associated with an event. Charges associated with events scheduled for personal use by individual UMM community members will be consolidated and billed by the Office of University Relations.

 

Co-Sponsoring Activities with Non-university Groups

As noted in the U of M Board of Regents policy regarding co-sponsored activities, the University, University units, or registered student organizations may initiate the co-sponsorship of events involving the use of the Student Center by non-university groups. The University will not enter into co-sponsorship of any program or activity in which the educational or public service implications are not evident and which does not relate appropriately to the missions of the University.

UMM groups will be responsible for scheduling space and coordinating the logistics for co-sponsored events.

 

Using Student Center Space

Reserving Student Center Facilities

Student groups wishing to reserve a space in the Student Center will fill out an 'events scheduling form' in the Office of Student Activities a minimum of one week prior to the event. Event scheduling forms must be filled out in detail - include audio visual requests, plant service set-ups, etc.

The Office of Student Activities will ascertain the availability of the room. If the space is available, Student Activities will: 1)OK the request, returning the original event scheduling form to the student group via their student organization mail box (located in the Student Activities complex) and will 2)notify University Relations, Plant Services, Campus Security, and other campus offices as appropriate.

When spaces are unavailable, groups will be invited to re-submit requests with alternative dates and/or sites.

University units or campus community members wishing to reserve a space in the Student Center will contact the Office of Student Activities to request space. Contact the Office of University Relations to request necessary equipment, and space set-ups.

The Office of Student Activities will ascertain the availability of the room. If the space is available, av details, set-up information, etc. will be arranged by University Relations. University Relations will email set-up information to Student Activities, Campus Security, Plant Services, and other appropriate offices.

Groups are responsible for equipment and room furnishings during the time under their reservation. (Contact the Information Desk, ext. 6123, to have doors locked.). Groups will be billed for damages or losses to rooms or equipment.

Following their event, campus groups must ensure that rooms are clean and returned to their original set-up. Large events with special set-ups may be coordinated with University Relations.

If any problems occur with rooms or set-ups, contact the Office of Student Activities, ext. 6080 or the Infomation Center, ext. 6123.

 

Facilities Available For Scheduling

The following spaces may be scheduled for meetings, events, and activities appropriate to the design and function of the room. (Note: other areas of the building may not normally be scheduled.)

Edson Auditorium: a 500-seat proscenium theater.

Cafe: 1 150-seat cafe with a built-in stage area. Seating area may be scheduled when the cafe is not in operation as a food service area; groups are responsible for cleaning and resetting the area.

Great Hall: a large ballroom & banquet space; may be divided into three meeting spaces; will seat 275 people for banquets or lectures.

Individual Meeting Rooms: 4 rooms are available for meetings of 6-35 people.

Lobby Display Areas: 2 areas are available; each will accommodate 1 or 2 tables.

 

Logistics and Constraints

Special Room Setups/Plant Services

Special setups must be coordinated with the Office of Plant Services, ext. 6100, and may be requested in the event scheduling process; cost estimates are available if desired.

Audio Visual, Sound, and Lighting Equipment

Basic audio visual equipment, provided in individual Student Center rooms, may be used at no charge. Additional audio visual equipment is provided at no charge to campus groups by the UMM Media Services Office, ext. 6150. Charges for off-campus groups will be included in their consolidated billing.

Professional quality sound and lighting is available through Student Center and Campus Activities Council technical staff. Student groups needing such services will be billed for technical staff time, including setup and teardown; there is no equipment rental fee. All others will pay an equipment fee and an hourly rate for staff time. Arrangements must be made a minimum of two weeks prior to the event.

Decorating

Nothing may be hung on Student Center walls without prior permission from the Office of Student Activities.

Food and Beverage Service

Food and beverage service at UMM are provided by Chartwell's Dining Service (CDS). UMM's contract with CDS gives them exclusive rights to food and beverage service on the campus; groups may not hire another caterer or bring their own refreshments into the Student Center for scheduled events. Two exceptions are made to this general policy; other exceptions may be granted by the Director of Food Service:

Student groups may sponsor bake sales or similar activities on an occasional basis.

Individuals may bring their own lunch to brown bag lunch meetings scheduled in the building by UMM community organizations.

Food and beverage arrangements for UMM community groups are made through the CDS Office, ext 6131; non-university groups should make arrangements through the Office of University Relations.

Alcoholic Beverages

By policy of the Board of Regents, alcoholic beverages are not permitted in the Student Center. Exceptions to this policy for scheduled events can be made only through the process described on the "Application to Serve Alcoholic Beverages at an On-Campus Event (an exception to the Regents' Policy on Alcohol)". Application forms are available to student groups in the Office of Student Activities; for all others, forms are available in the Chancellors Office, 309 Behmler Hall. Applications must be completed at least 14 days prior to the event.

 

Policy Exceptions

Exceptions to Student Center policies may be made only with permission of the Director of Student Activities (or designee).

 

Definitions

General Purpose Classrooms. An auditorium, lecture room, or seminar room usable by different disciplines for teaching. The classroom generally has no fixed demonstration equipment nor is restricted to use by only one discipline or division. These spaces are assigned by the Registrars Office.

Teaching Laboratory/Special Use Spaces. A space with specialized equipment or use that is assigned to a division. Instructional use is scheduled by the Registrars Office and requires division approval for requests outside the normal use.

Conference/Meeting Rooms. Any campus space designed to handle campus events, meetings, and conference activities. Regular scheduled classes will not be scheduled in these spaces except with authorization from the appropriate Vice Chancellor. Set-up and clean-up fees may be assessed.

Student Center Spaces. These spaces are scheduled by Student Activities and require coordination with the Student Center staff. These spaces may be scheduled with long lead times to promote conferences and special groups. Priority should be given to student use and space is available to other campus functions when open. Set up and clean up fees may be assessed.

PE Center. These spaces are scheduled by the PE center and require contact with the PE center Director to schedule space. These spaces may be scheduled with long lead times to facilitate event scheduling. Set-up and clean-up fees may be assessed.

Interactive Media Rooms. These spaces are scheduled by Media Services. Set up and technical supervision fees may be assessed. Use of these spaces may require coordination with other campuses.

Computer Labs. Computer lab usage is scheduled through Computing Services. For more information on campus computer labs, please visit the Computing Services web site.
