All trips must be scheduled through the University of Minnesota, Morris: Fleet Services Department

Conditions:

• The Contractor will determine the route unless otherwise specified.
• The Contractor will be responsible for all tolls, tariffs, etc. associated with the general operation of the motor coach.
• The University is responsible for parking costs, all entry fees, etc. directly related to the trip.
• The Contractor will be responsible for all meals for the driver(s).
• The University will provide a separate bed (this may be a shared room with a coach or a chaperone) for the driver(s) at the same location the users are staying. The Contractor will be notified of the lodging location in advance.*
• Smoking will not be allowed on any University scheduled charters, including driver(s).

*If the users are staying in private homes the University will provide a hotel/motel room for the driver(s). If the group is camping (this must be specified ahead of time) the driver(s) and bus WILL be expected to stay with the group and the driver(s) must provide their own camping gear.

Scheduling and Cancellations:

· All trips should be scheduled at least seven days in advance of departure to guarantee a coach. The Contractor will not be held responsible for providing vehicles for any trips scheduled less than 48 hours in advance.

· All trips should not be cancelled less than three days prior to departure.

· It will be the responsibility of the Contractor &/or driver ( not the University ) to determine whether or not road/weather conditions permit safe travel.

· If you are requesting an estimate, please do so at least 30 days in advance of your trip.

Rate Schedule:

*No deadhead charge from Fergus Falls to Morris

Additional Charges:

Point of Departure Cancellation:	$400.00
Cancellation within eight hours of departure:	$400.00
Second Driver:	$150.00/day plus $ 0.30 per mile
Overnight:	$30.00/driver/night
Fuel surcharge/credit: (base $1.40 per gallon)	.03(per mile)/10% fuel cost increase/decrease
