Position Description:

Number of positions available:
Summer 1 – with potential for immediate spring term employment, rolling applications deadline/hiring date, and potential for continued fall employment

General Summary
The student in this position has multi-faceted responsibilities in assisting all the areas within UMM Alumni Relations and Annual Giving. Duties include events planning and records management. General office duties are also expected, including filing, word processing, copying and processing special mailings. Work at weekend and evening events is required. Events are attended by alumni, donors, students and friends of UMM.

Principal Duties and Responsibilities:
1) Responsible for assisting alumni relations and annual giving staff with alumni relations event planning including UMM/WCSA reunions, Morris at the Saints event and Homecoming. Position includes preparing and organizing materials, maintaining attendance lists, decorations, welcoming UMM constituents and others at registration tables, and clean up. Work on weekends and evening events is occasionally required. Events are attended by alumni, donors, students, faculty, staff, and friends of UMM.
This position requires a high degree of independence and responsibility. The assistant needs to be able to assist the host/hostess in a polite and friendly manner for events and must be reliable, dependable and trustworthy. The position also requires a high degree of individual style and creativity as this position is required to understand an event, order giveaways, design a party favor and/or decorations appropriate for the event, purchase the materials and supplies needed, and create an independent timeline for the accomplishment of tasks.
2) Entry of UMM alumni, donor and friends data into the UMM alumni and donor database. Data entry requires strict adherence to data confidentiality rules, accuracy and attention to detail. Students are required to be trained in the use of the Donor Management System (DMS) of the University of Minnesota Foundation (UMF). Additionally, the student is responsible for organizing and entering data acquired from reunions and other events.
Preferred Qualifications:

Organizational skills intermediate experience with data entry, Word & Excel.

Qualifications/Additional Comments:

Minimum/Essential Qualifications Needed to Perform Job:
Requires experience with computers, including proficiency with Word and Excel attention to detail and the ability to work independently as well as in a team environment. Organizational skills, written and oral communication skills, detailed oriented, creative, and problem solving abilities will also be very helpful.




Wage/Salary:

$8.00 per hour

Hours Per Week:

summer 2012 - up to 40 hours per week
