Pre-Scholarship Jubilee preparations
Assist with: compiling the guest list, gathering information making and printing documents to send to donors and recipients reviewing and proofreading invitations tracking rsvpís and media reports providing donor information to recipients as requested contacting students to encourage them to attend, creating content for printed program proofreading printed program making, printing, and assembling nametags and place cards assigning seats and arranging tables creating decorations, arranging and ensuring media needs, attending set up meeting the Tuesday morning before the event. Assist with event set up on the afternoon of 11/16/12: setting out place cards, programs, donor information, and decorations.
Attend the Scholarship Jubilee on 11/17/12
Assist with: setting up nametag table, greeting guests and helping them find their nametags and seats, assisting with photos, other duties as assigned.
Post-Jubilee follow up
Assist with producing, assembling, and mailing information packets to guests, including: determining and tracking which documents/pieces each particular guest will receive acquiring and making copies of speeches identifying, labeling, and making reprints of event photos creating a collage of photos depicting the event merging, editing and printing out follow up letters, envelopes, and labels assembling materials and stuffing envelopes attendance coding in database and other duties as assigned.
Some of the tasks listed above entail extensive use of spreadsheets to analyze & compare lists of names, descriptions, and other data in order to recognize discrepancies, make recommendations, and to record, sort, and retrieve data. Also, word programs are used extensively for mail merges and to edit and print documents, and a web based donor/student database for retrieving and recording information. Therefore the person chosen for this internship will be highly skilled at using MS Word, Excel, MS Picture Manager, Flickr, Adobe Acrobat, and UMM email applications. Database experience helpful, but training will be provided.
Must be trustworthy with confidential information. An inquisitive, detail oriented, creative person with problem solving abilities and excellent written and oral communication skills is preferred. Should be motivated and able to work independently with little or no oversight as well as in a team environment. Previous experience with event planning or working with the public will be very helpful.
$650 fall semester stipend
